BayWa AG Digitises Contract Management
Uniform management of tens of thousands of supplier contracts in the cloud.
At BayWa, a broad network of suppliers from various business units results in tens of thousands of contracts every year that need to be actively managed. In order to be able to map the different contract management of the individual areas of energy, agriculture and construction uniformly and at the same time flexibly, the internationally active trading and service company now digitized its supplier agreements with the Fabasoft Contracts software.
“With the same amount of time, we can now do all those things that were previously not possible with this speed of implementation, such as anchoring new legal regulations, such as the LkSG or EEG, in all agreements at an early stage. Contract adjustments and exchanges with external partners are seamless and secure,” explains Thomas Klingels, Head of Strategic Purchasing at BayWa.
Automated contract templates including clause library
BayWa manages all supplier agreements in the cloud-based standard product from Fabasoft. Currently, almost 350 internal users from the construction, IT and strategic purchasing departments, plus suppliers, are working with the software. The roll-out to the remaining business units is being planned. The authorized employees and external partners access a common version for each contract in digital data rooms. Automated contract templates including a clause library and structured workflows along the contract lifecycle simplify the processes, as do integrated deadline management and an intelligent full-text search function for quickly finding individual documents in the entire archive.
